BOOK FAIR

HNA 2019 will host a Book Fair at which conference participants may exhibit and sell their books. Participation in the Book Fair is free to registered HNA participants. No fee is charged to rent table space, and HNA will not take a percentage of sales.
The Book Fair will be staffed by volunteers, and to make it easy on everyone, exhibitors and sellers will be expected to adhere to the rules and procedures outlined below.

GETTING YOUR BOOKS TO THE CONFERENCE
We have approval from the conference hotel to receive shipped materials for the HNA 2019 Book Fair and Silent Auction. Please address your packages to:

Important: Shipments must be timed to arrive between July 31st & August 6th.
Sellers can deliver books in person to The Hawthorne Inn during hours the Book Fair is open.
BOOK FAIR HOURS
Book Fair tables will be set up in the The Boardroom at The Hawthorne Inn. The room will be locked and secure when the Book Fair is not open.
 
                        Wednesday   Open for setup & sales, 12:00–4:00
                        Thursday       Open for sales, 10:00–6:00
                        Friday             Open for sales, 10:00–6:00
                        Saturday        Open for sales, 10:00–2:00. Tear-down begins at noon, and all books
                                                must be removed by 3:00 p.m.
RULES & PROCEDURES
Inventory sheet. Each seller must provide an inventory sheet legibly listing the titles of the books to be displayed, the price for each, and the number of copies to be sold. Ideally—to help estimate the table space needed—the inventory sheets will be submitted before the conference starts. Click here to download a blank inventory form to be completed and mailed or e-mailed to [email protected]. Blank sheets will be available for sellers at the Book Fair.

Book cards. Each copy of each book to be displayed/sold must be accompanied by a 3˝ x 5˝ index card with this information:
                        Price of the book (in US dollars)
                         Seller’s name (the person to whom payment will be made)
                         Book Title
 
Blank cards will be available for sellers at the Book Fair, but there will be less wear and tear on everyone if you prepare the book cards before you come.
Setup. Inventory sheets and book cards will be verified at the time of setup. Sellers who have not prepared an inventory sheet, and books without cards will not be accepted.
Sales. The Book Fair cashier will ring up sales based on the book cards. This is our foolproof, low-tech bar code! Again, no book without a card will be sold. All sales are final; there will be no returns or refunds given for any items purchased at the HNA 2019 Book Fair. After the close of the Book Fair, the cards taken at checkout will be reconciled with the inventory sheet provided by the seller and payment will be calculated.
Pick up and removal of books. Note that the Book Fair closes at 2pm on Saturday, and all books must be removed from the room no later than 3:00 p.m to allow the hotel staff time to set up for the reception. If you will be removing more books than you can carry home by plane or train, please think through how you will be getting them back. The UPS stores in Winston Salem, should all be open until 5:00 p.m. Saturday, and they open again at 8:00 on Monday morning. Please make plans/arrangements to ship your books home.
Payment to sellers. Within 14 days after the close of HNA 2019, sales will be tallied and payment made to each seller.

Haiku North America and the Book Fair staff cannot be held responsible for damage, theft, or other loss of items in shipping to or from the Book Fair or during the sale.
There will also be a table for free handouts: personal broadsheets, poemcards, bookmarks, and the like, as well as flyers for coming events, new books, etc.
