 Book Fair

The 2025 Haiku North America book fair will take place in the Redwood room, located on the lower conference level at the Holiday Inn Golden Gateway in San Francisco.
​For Buyers
The HNA book fair is one of our conference highlights, and we hope you’ll take advantage of seeing and purchasing as many books as possible in support of your fellow authors or publishers. Our book fair will be open during the following hours:

  • Thursday/Friday, September 25/26
    9:00–11:00 a.m., 12:00 noon–4:00 p.m.
  • Saturday, September 27
    9:00–10:00 a.m., 12:00 noon–1:30 p.m., 2:30–4:30 p.m.
 
The book fair will be closed during select conference events, including the Higginson lecture (Thursday, 11:00–12:00), the Memorial reading (Friday, 11:00–12:00), and on Saturday from 10:00 a.m. to 12:00 noon and from 1:30 to 2:30 p.m. We will offer sales only by credit or debit card through Square. Authors and presses are responsible for any electronic fees for books paid for by credit card.

Please consider donating to HNA to help with our book fair expenses (sellers are not charged fees to sell books).

For Sellers
Whether you have one book to sell, or many, we invite you to bring your books for the HNA book fair—and we will take care of all sales using the Square sales app. As a service to the haiku community, HNA does not charge for tables used by book fair exhibitors or take a percentage of sales. However, if you wish to donate to HNA to help with our book fair expenses, please know that we very much appreciate your support!
 
IMPORTANT: For us to have your books listed in the Square app in time for the conference, you must itemize books you plan to sell using our Book Fair form (see link below). You must submit this form by September 14, 2025. We need the author or press name, a physical address, and a full list of books for sale by title, author/editor, and price. We do not need to know the quantity of books you will bring.
 
Book Fair Details and Conditions
Booksellers will be able to access the Redwood room to set up books on Wednesday from 2:30 to 4:15 p.m., and whenever the book fair room is open after that. Please arrange your books efficiently on tables we provide. The room is not set up for hanging posters on the walls. Small table-top posters are allowed, depending on space available after all books are set up for display/sale. Please make sure to clearly mark book prices, either in or on each book or on a price list that you put out with your books, and that these prices agree with what you list in our Book Fair form (we will sell books based on prices entered into the form).

The book fair room will be locked except during setup/takedown and the open sales periods. HNA will not be held liable for any damage, theft, or other losses.
 
Authors and presses agree to remove all books from the book fair between 9:00 a.m. to 12:00 noon on Sunday, September 28. The book fair room will be closed at noon on Sunday, and all remaining items will be donated.
 
Shipping Books
Vendors are responsible for bringing or shipping their books to and from San Francisco, which includes all customs paperwork, if applicable. To ship books before the conference, you may ship them to the hotel (Haiku North America Book Fair, c/o Fay Aoyagi, Holiday Inn San Francisco Golden Gateway, 1500 Van Ness Avenue, San Francisco, CA 94109), with a target arrival at the hotel from September 19 to 24.

Before you send books, please contact Susan Antolin at [email protected] and Fay Aoyagi at [email protected]. We will need the estimated date of arrival and the approximate weight of the package(s) you will send (per the package weights below).

Label each package with:
  • Your name or publisher name + on-site contact
  • Name of conference: “Haiku North America”
  • Dates: Sept 24–28, 2025
  • c/o Fay Aoyagi
  • Box count (such as “1 of 4”)

Hotel handling fees per box, per day (holding/return shipment assistance):
  • 1–25 lbs:         $5
  • 26–50 lbs:       $15
  • 51–100 lbs:     $50
Prices do not include 8.75% tax and a 23% service charge.

Each package sent to the hotel will be charged the preceding handling fees. If any package arrives earlier than September 19, extra handling fees will be added per day.

Book Fair Submission Form — due by September 14, 2025
Our book fair form welcomes individual entry of up to six books, or the bulk upload of a spreadsheet if selling more than six books (such as if the seller is a press or an author has many titles to sell). Book prices must be in whole U.S. dollars (for example, $7.00, not $6.99). All book sales will be facilitated by HNA volunteers. HNA will settle accounts with authors and presses within one month after the conference.
